Bedworth Lake, developed by TID Property Developers, is a private student housing organisation based in Vanderbijlpark, South Africa. Serving students of the Vaal University of Technology (VUT), the organisation manages 11 properties comprising 2,844 sub-locations and accommodates approximately 3,670 students. Bedworth Lake is responsible for managing student intake and enrolment, room allocations, and the maintenance of its facilities and infrastructure.
Challenge
Managing student accommodation across multiple properties requires coordination between student administration, room allocations, facilities management, and ongoing maintenance activities.
Bedworth Lake wanted to establish a structured digital environment for managing these processes, including the logging and tracking of maintenance requests, technician updates and job records, as well as student intake and administration.
Bringing this information together would provide management with greater visibility across both student and facilities operations while giving students and operational teams clearer ways to interact with maintenance processes.
Objectives
Forcelink was selected to provide an integrated platform that could bring student administration and maintenance operations into a centralised digital environment.
The objective was to establish a structured student database to support enrolment, room allocation, and student status management, while introducing a customer portal through which maintenance issues could be logged and tracked.
Bedworth Lake also wanted technicians to be able to capture and update job progress digitally and management to have greater visibility of maintenance activity and the functional state of facilities across its properties.

Solution
Forcelink was implemented as an integrated student accommodation management solution, bringing facilities operations and student administration together within a centralised digital platform. Within the system, students were managed as customers, creating structured records of enrolment status, room allocations, and relevant historical information.
A custom Forcelink customer web portal enabled students to log maintenance issues directly, track the progress of reported faults, and receive updates. Administrators were also able to log requests on behalf of students where required. The platform supported digital work request capture with automated work order creation, technician assignment, materials management, and progress tracking. Technicians could update job statuses through the mobile platform and capture supporting information upon completion, creating an auditable record of maintenance activity.
Historical, room-based issue tracking gave management the ability to review recurring maintenance requirements and monitor trends across properties, providing greater visibility of facility conditions over time. By linking students to specific facilities within the platform and managing relevant student and property information within the same environment, Bedworth Lake was able to bring greater structure and visibility to its accommodation operations.
