Bidvest Facilities Management Connects Field Verification with Asset Data

Bidvest Facilities Management is a national facilities maintenance provider servicing major enterprise clients across South Africa.


One of its key clients is ABSA Bank, for whom Bidvest manages facilities and asset maintenance across a large national property portfolio. These services are delivered under multi-year contracts governed by defined service level agreements (SLAs) and detailed client reporting requirements.

Challenge

As part of a renewed contract commencing in 2025, ABSA required Bidvest Facilities Management to deliver a comprehensive and verified asset register across its national property portfolio.


The requirement included confirming asset existence, validating locations and asset attributes, recording condition information, and strengthening the connection between individual assets and their associated maintenance histories.


The existing maintenance environment included SAP as the primary backend system, supported by a mobile maintenance application and an asset register containing approximately 200,000 records, including functional locations.


Given the scale and maturity of the portfolio, Bidvest needed to validate and rationalise this information through a nationwide physical verification programme while maintaining visibility of progress across multiple sites, teams, and specialist disciplines.

Objectives

Bidvest’s primary objective was to extract relevant asset information from SAP, review and standardise asset classifications, and undertake a comprehensive physical verification programme across the ABSA portfolio.


This included attaching or validating unique barcode asset tags, confirming detailed asset locations such as site, floor, and room, and capturing relevant attributes including make, model, and serial number. Bidvest also wanted to record high-level asset condition information, capture assets identified during physical verification, and provide ABSA with near real-time visibility of progress.


Forcelink was selected as the mobile-first platform to support asset verification and audit activities at national scale.

Solution

Forcelink was implemented as a dedicated asset verification and audit platform, providing Bidvest with a structured, mobile-first environment for managing the national programme. Approximately 200,000 asset and functional location records were initially extracted from SAP and modelled within Forcelink. Asset hierarchies and functional locations were structured within the platform, while classification information was reviewed and standardised to provide a consistent foundation for physical verification activities.


Bidvest deployed more than 100 internal technicians nationwide, supported by specialist subcontractors across disciplines including elevators, HVAC, and fire systems. Using Forcelink Mobile, teams can scan asset barcodes, validate existing asset information, create records for assets identified during field verification, update detailed locations and attributes, and capture high-level condition information. Work orders are structured according to site, building, and floor, enabling multiple teams to operate concurrently within larger facilities while maintaining a clear relationship between verification activity and the relevant locations and assets.


Near real-time dashboards provide visibility of provincial progress, daily activity, and resource allocation. Automated reporting gives stakeholders access to information such as assets verified, asset categories captured, and progress across participating teams. This operational visibility enables Bidvest to monitor programme progress, adjust resource allocation where required, and provide ABSA with structured reporting as verification and reconciliation activities progress. The verification programme is conducted alongside Bidvest’s ongoing facilities maintenance responsibilities, with many of the same experienced technicians contributing to both operational maintenance and asset verification activities.


The project commenced in late 2025 with an initial three-month execution window. As part of the data preparation and verification process, the reference asset dataset was reviewed and rationalised to create a more focused and structured foundation for ongoing asset verification and management. The programme continued into April 2026 to support further reconciliation and validation across the national portfolio. The initiative remains active as Bidvest continues asset verification and reconciliation activities.

Structured reporting also gives ABSA visibility of progress, supporting information, and identified differences as the asset register is reviewed and validated. The programme has supported the rationalisation of asset and functional location records, providing a more structured foundation for ongoing asset verification and facilities management across the portfolio.
