Servest delivers comprehensive on-site operational support, including asset maintenance, facilities management, and specialist services for large and complex environments.


Within high-security and operationally critical environments such as 1 Military Hospital, Servest is responsible for maintaining facilities and equipment in line with stringent service requirements. This involves coordinating multiple maintenance teams, service providers, assets, and operational processes across the hospital environment.

Challenge

Managing facilities and maintenance activities within a large, operationally critical healthcare environment requires accurate asset information, structured work management, and visibility across internal teams and external service providers.


Servest required a centralised Computer-Aided Facilities Management (CAFM) system capable of bringing maintenance, asset management, inspections, supplier coordination, and operational reporting into a connected digital environment.


The solution also needed to support effective planning, scheduling, and monitoring across a substantial asset base while providing teams with consistent processes for managing both planned and reactive maintenance activities.

Objectives

Servest set out to implement a CAFM solution that would digitise facilities management processes and support coordination across the hospital environment.


The primary objectives included enabling structured workflow management for the generation, planning, scheduling, and allocation of maintenance tasks, while modelling the hospital’s facilities and equipment within a structured asset hierarchy to support accurate asset identification and location tracking.


Servest also wanted to digitise maintenance forms and inspection checklists, support the execution of planned, reactive, and preventative maintenance through mobile field operations, and connect supplier coordination with quotation and purchase order processes. Dashboards and reporting capabilities were also required to provide management with greater visibility of maintenance activities, workloads, asset information, and service performance.

Solution

Forcelink was implemented as the central operational platform supporting Servest’s facilities management services at 1 Military Hospital. The system was configured to support the lifecycle of maintenance operations, from task generation and scheduling through to execution and reporting. Maintenance activities are managed through structured workflows, enabling Servest teams to plan, schedule, allocate, and monitor work against operational requirements and service commitments.


A comprehensive asset hierarchy was created within Forcelink to model the hospital’s facilities and equipment. This allows individual assets to be identified by location and provides maintenance teams with access to asset history, inspection information, and records of maintenance activity.

Maintenance teams use Forcelink Mobile to execute work in the field. Technicians can receive job assignments, complete inspection checklists, capture maintenance information, and update work progress directly from the operational environment.


Digital forms and structured data capture provide consistent records of maintenance activity while making information available to relevant field and management teams. The system also supports supplier coordination through integrated quotation and purchase order processes, helping Servest manage external service providers and suppliers involved in maintenance activities.


Operational dashboards and reporting provide management with real-time visibility of maintenance activity, asset information, workloads, and service delivery metrics. Supervisors and operations managers can use this information to monitor work progress and maintain oversight across the hospital environment.
